Create separate workspaces for your clients, teams, or products. Each client gets their own login and workspace with their own widgets, channels, and analytics, while everything bills to your main account.
How to get there: Click your profile icon (top right) → Clients / Subaccounts.
Overview
Client workspaces let you:
- Give each client their own isolated workspace with separate widgets, chatbots, and analytics
- Manage multiple brands or customers from a single account
- Monitor each client's usage (domains, chatbots, credits)
- Set advisory limits per client with email notifications when exceeded
- Customize branding so clients see your agency logo instead of Boei's
Each client can only see and manage their own workspace. As the account owner, you can access and manage all client workspaces from your dashboard.
For shared access to the same widgets (e.g., team members working together), use Team Members instead.
Creating a Client
- Go to Clients / Subaccounts
- Click Add New Client
- Fill in the client details:
- Client Email Address (required) — the email they will use to log in
- Client Website (optional) — their website URL
- When you enter a website URL, two additional options appear:
- Add website domain — automatically fetches site info and sets up the domain for the client
- Create AI chatbot — generates an AI chatbot trained on the client's website content
- Click Create Client Account
After creation, a modal shows the login credentials (email and password). You can copy them individually or together using the copy buttons.
Important notes:
- Credentials are shown only once. Save them before closing the modal.
- No automatic email is sent to the client. Share the credentials yourself when you are ready.
- You can set up the client's website, widgets, and chatbot before sharing their login.
- If you have reached your plan's domain or chatbot limit, you will see a warning. The client account is still created, but the domain or chatbot will not be added until you upgrade.
Trial Accounts
When creating a client, you can check Trial account to create a trial that does not count towards your client seat quota:
- Set a trial duration between 1 and 14 days
- Trial clients appear with a yellow Trial badge and a countdown showing days remaining
- Expired trials show a red Trial expired badge
- Trial accounts let you onboard prospects without using a paid seat
To convert a trial to a permanent client, click the Convert to client button that appears next to trial and expired-trial accounts. This will use one of your available client seats.
Monitoring Client Usage
Below each client's name, you can see their current usage:
- Domains — how many website domains the client is using
- Chatbots — how many AI chatbots the client has
- Credits/mo — how many AI credits the client has used this month
These resources count towards your overall plan limits. For example, if your plan includes 20 domains total, those are shared across all your clients.
Setting Soft Limits
You can set advisory limits per client to get notified when a client exceeds expected usage:
- Click the [...] menu next to a client
- Select Set limits
- Enter expected limits for domains, chatbots, and/or AI credits per month
- Click Save
These limits are advisory only and do not block the client from using more resources. When a client exceeds a limit, the usage numbers turn red and you receive an email notification so you can take action.
Managing Clients
Click the [...] menu next to any client to access management options:
- Set limits — configure advisory usage limits (see above)
- Reset password — sends the client a password reset email so they can set a new password
- Disconnect — removes the client from your account
Disconnecting a Client
When you disconnect a client:
- They are no longer billed to your account
- Their account remains active as a regular Boei user
- They keep all their widgets, chatbots, and data
- You can no longer manage their workspace
Logging Into a Client Workspace
You can step into a client's account to set things up, troubleshoot, or see exactly what they see.
- Go to Clients / Subaccounts
- Find the client you want to access
- Click Login as next to their name
You will be logged into the client's workspace. A banner at the top of the screen reminds you that you are acting as someone else and lets you click Exit client at any time to return to your own account.
While switched in:
- You see and act exactly as the client would, with their data and permissions
- Any changes you make are saved on the client's account
- The system records every switch in the activity log so the action is traceable
You can only switch into clients that belong to your own account. Attempts to access another agency's clients are blocked.
Activity Log
The Activity Log tab on the Clients page shows recent actions across your agency, including:
- When you (or your team members) switched into a client account
- When clients were created or disconnected
- When client soft limits were changed
- Ownership transfers of widgets, chatbots, or domains
Each entry shows when it happened, who performed the action, and which client it involved. Use the dropdown above the list to filter by a specific client.
The activity log only shows entries for your own agency. Other agencies cannot see your activity, and you cannot see theirs.
Agency Branding
The Agency Branding tab lets you customize how your brand appears to clients:
- Product Name — replaces "Boei" throughout the interface and in emails (e.g., "YourBrand")
- Powered By Text — customizes the "Made with Boei" text shown at the bottom of pages and emails
- Powered By Link — sets the URL users are directed to when clicking the powered-by text
- Agency Logo — your logo appears at the top of pages and in email communications for you and all your clients (accepts JPEG, PNG, or GIF, max 8MB, resized to 60px height)
Click Save Branding Changes to apply.
